Admin Assistant / Client Success Manager (CSM) Role Description

DETAIL:
Extension Fitness is a family owned, Perth based Personal Training business. Our services are focused on these key areas:
1/ Helping midlife and older adults improve their health and happiness through strength and conditioning coaching
2/ Helping runners realise their potential through deeply customised coaching - online or in-person
3/ Helping semi-serious or serious recreational endurance athletes (swimming, running, cycling, triathlon etc) gain an edge through targeted, sport-specific strength training
Due to solid growth, we’re seeking to hire an Admin Assistant 3 hours per week across 5-6 days. Fundamentally, each day will involve around 30 minutes of administrative tasks to do with organising Personal Trainer schedules and responding to New Client Enquiries.
This is a fully remote, casual position that could slot in nicely alongside other commitments - study, family care or other work. It could suit a stay-at-home parent or a student.
The remuneration is $40 per hour including casual loading plus an IT/internet allowance and a phone provided.
The applicant should have proven skills in administration, including the use of computer software, with excellent attention to detail and communication skills.
Role:
The Administration Assistant will be responsible for two main areas:
1/ Nurturing new enquiries into an initial discussion with Head Coach
2/ Running the operational processes around session bookings, including cancellations, reschedules and usage of banked sessions
Responsibilities:
Manage scheduling for Extension Fitness clients and trainers. This includes:
Processing session banking, rescheduling and cancellations and keeping accurate records on the client’s profile.
Liaising with clients to book rescheduled and banked sessions.
Responding to new enquiries using standardised service information and according to your training.
Following up sales leads by email, text and phone (in a non-pushy manner).
Reconciling sessions in PT software on a weekly basis, ensuring the calendar and client records present an accurate record of what has taken place.
Proactively communicating with Extension Fitness trainers regarding any changes to their schedule.
Managing the “hello” inbox, which is the main way new clients contact us.
All of the above will be done using a supplied smart phone and your own computer
The role is 100% remote, utilising your own laptop or PC, a supplied smart phone and IT systems provided by Extension Fitness. You will receive an appropriate allowance in recognition of the use of your private computer and home internet.
In time, it may be possible for the role to expand, taking on tasks relating to:
Client billing
Reconciling transactions in Xero
Event management (e.g. planning & organising running or health retreats)
Marketing (including social media)
Hospitality
Client service tasks (wishing people happy birthday, organising gifts etc)
