Personal Training Cancellations & Rescheduling

Personal Training is delivered according to Terms and Conditions which shall be supplied to clients when they enquire or commence training.

Here’s the essentials:

  • Clients are invited to reschedule any session they cannot attend provided minimum four hours notice is given. Each session can be rescheduled once only.

  • If a suitable rescheduling time cannot be found, full charges apply.

  • As such, refunds for cancelled sessions are not offered.

  • We reserve the right to refund cancelled sessions in rare circumstances at our discretion.

  • Ongoing Personal Training clients can access four “sick days” and six weeks of “holidays” each year. That is, four sick days with a full refund, and six weeks per year when direct debits are paused for “holidays”.

Group Training Rescheduling & Cancellations

Group fitness clients pay via weekly direct debit, and can access four “sick days” plus six weeks of “holidays” per calendar year.

This means that if you’re sick and can’t make it to the group fitness session, you get a refund. But only on four occasions per year.

If you’re going to be away from training on holidays, you can pause your payments for up to six weeks per calendar year in total. Minimum pause is 1 week.

Training with children

We welcome children from 9 years of age to train with a parent/guardian at our group classes. The parent/guardian is responsible for ensuring that their child follows the instructions of the coach to an extent that is reasonable for their age.

Payment for group training

Your first class of group training is free of charge. Payment for any subsequent classes must be made in advance.

Payment for personal training

Your first session of personal training is free. Payment for any subsequent PT sessions must be made at or before the point of booking - prior to the session/s.

Trainer absence

In the event of an emergency or illness, where the trainer/coach cannot take the class/session you are booked in to, you will be notified by SMS as soon as we possibly can. There will be no charge to you in these instances.

We endeavour to give you at least 14 days notice of trainer absences due to holidays or other foreseen events.

Privacy Policy

Any information provided to us regarding your health and medical status, your contact information or any other data/information shall be securely stored in a personal trainer business management platform, or on a secure and private cloud computing platform used by Extension Fitness. We may keep some hard copy records containing your information in a secure and locked storage area. We will not disclose any information you provide to us without your consent. We will not disclose or sell any data or information that we collect about our clients to any third party except to our client’s healthcare practitioners. We will seek your consent to do this. Any private or sensitive information disclosed to us verbally regarding your health shall only be shared with your healthcare practitioner, and only with your consent.
